Unprocessed Check Letters

Letters concerning unprocessed checks can be printed for a single account or a group of accounts in a trigger table. Users may select from a series of reason codes (see below) to be noted on each set of letters printed. A note can be inserted for each account. Invalid account numbers are listed on an error log.

These client preferences should be set:

Top of letter - COUNTY_NAME, CPA, CPA_TITLE, JUR_WEBSITE, JUR_ADDRESS2, JUR_ADDRESS3, JUR_ADDRESS5, JUR_PHONE, FAX, and JUR_EMAIL_ADDRESS

The following user entitlements are available on the Batch Menu. They are part of the Run SI Batch Processes task, which is part of the SI Batch Menu job. See Tasks, Entitlements, and Jobs for more information. Individual reports and processes must be assigned to each user.

To print these letters:

  1. From the Main Menu, click on Products, then Batch Products.  The SIT Batch Menu will appear.  
  2. Click on the Unprocessed Check Letters line, batch menu no. 12347.
  3. Press Enter.  The parameter screen for this report will appear.
  1. Enter your tax office's ACT Client ID.
  2. (optional) Enter an Account Number to run for a single account
  3. Enter a Reason Code. The options are as follows: 1 - Legal line in Spanish, 2 - Legal line of check not legible or blank, 3 - Check altered; 4 - Signature required on statement or check; 5 - Account number inactive, 6 - New dealer, exempt from payment for this tax year, 7 -Incomplete vehicle information (date of sale, type of sale, incomplete VIN, purchaser’s name), 8 - Multiple months listed on one statement, 9 - No taxes due at this time, 10 - Unable to locate the account, 11 - .Payment required, 12 - Wholesale dealer, no payment required.
  4. (optional) Enter a Request Seq. number from the account(s) in the trigger table.
  1. In the Create Note field, enter Y to create a note for each account or N to not do this
  2. (optional) In the Note Text field, enter the text desired for the note. If left blank, a generic note will be inserted.
  3. The User field should be auto-populated with the username of the person that is logged in to ACT. It is not able to be updated. This is the name that will show on the Notes screen if notes are added for this job.
  4. Click Submit Job.
  5. Click Yes to the "OK to submit the job?" message.
