Viewing, Entering, and Changing Notes

Notes pertaining to an account can be added in the Notes screen. These can be about anything relating to the account. Notes are sorted in the Notes screen by the date of the most recent change to each note.
User Entitlements
The following user entitlements are used on this screen. They are part of the Manage SI Notes task, which is part of all jobs. See Tasks, Entitlements, and Jobs for more information.
SI_NOTES_QUERY: Ability to view and query the Notes screen
SI_NOTES_INSERT: Ability to add notes on the Notes screen
SI_NOTES_DELETE: Ability to delete notes on the Notes screen
SI_NOTES_UPDATE: Ability to change notes on the Notes screen
There are two versions of the Notes screen:
To view the Notes screen:
- Double-click Notes on the Main Menu or select Notes on the Go To list.
- The Notes screen will appear, showing the Notes tab.
- If you are carrying an account number from another screen it will appear in the Account No field along with the notes that have been added to the account. If not, then enter a number in the space provided and press F8. If you would like a different number, highlight the current number and key in the new one, then press F8.
- If you do not know the account number, select Account Search in the Go To list. For more information, see Searching for an Account. Write down or copy the account number, then enter it into the Account Status screen.
Whatever year is entered will carry over to other screens in the SIT system if you use the Go To list. For example, if you enter 2002 in Account Search, then the Owner Master, Account Status, and Notes screens will also display information for only 2002. If you return to the Main Menu, the year resets to the most current one.
- To view the notes for an account from either the Owner Master or Account Status screens, click on the Notes button at the top of the page. A popup window of notes for that account will appear.
To enter a note on the Notes screen:
- Click in the first blank line in the Notes section (you may have to scroll down the list).
- Type in the note you want to add.
- Press Tab.
- Enter a message code if desired. Examples are MSG or your Operator ID.
Note: The MSG notation flags the note as the one to be displayed as the sticky note . If more than one note is flagged with an MSG, the most recent one will be the sticky note. Sticky notes can be seen at the top of most screens.
- Press Tab.
- If desired, enter an expiration date.
- Press F10 to save (in the popup window, click Close, then click Yes to the confirmation message).
To copy a note from one account to another on the Notes screen:
- Click in the row containing the row you want to change. The row should be highlighted.
- Click Copy Note.
- In the popup that appears, enter one or more account numbers. Press Tab after each one to populate the owner name.
- Click Save Notes. You will be returned to the Notes screen.
- Press F10 to save (in the popup window, click Close, then click Yes to the confirmation message).
To change a note from either of these Notes screens:
- Click in the row containing the row you want to change. The row should be highlighted.
- Enter any changes. If you can't see the entire note, double-click in the row to see the Edit Note popup window, make the changes there, then click OK.
- Press F10 to save (in the popup window, click Close, then click Yes to the confirmation message).
