Viewing and Changing Owner and Contact Information

The Owner Master screen gives all the relevant information about the owner of the account, including an alternate address or DBA name. Any changes to the address or owner prior to a change from the Appraisal District should be entered in the Alternate Address"DBA" fields.

User Entitlements

The following user entitlements are used on this screen. They are part of the Manage SI Owner Info and View Only Major Screens tasks, which are part of most jobs. See Tasks, Entitlements, and Jobs for more information.

SI_ACT8003V: Ability to query on the Owner Master screen

SI_OWNER_MASTER_UPDATE: Ability to make changes/additions to owner/contact information

SI_APPORT_PCT_UPDATE: Ability to update the if the client preference USE_APPORT_IN_UPTV_FACTOR is set to Y.

  1. Double-click Owner Master on the Main Menu screen or select Owner Master from the Go To list.  The Owner Master screen will appear.
  2. If you are carrying an account number from another screen it will appear in the Dealer No. field along with the owner information.  If the account number field is blank, enter a number in the space provided and press F8.  If you would like a different number, press F7, key in the new one, then press F8.

You can search for both a year and/or an account number if you wish.  Press F7, enter the year and/or account number, then press F8.

Notes: If you do not know the account number, select Account Search in the Go To list. For more information, see Searching for an Account.  Write down or copy the account number, then enter it into the Owner Master screen.

Whatever year is entered will carry over to other screens in the SIT system if you use the Go To list.  For example, if you enter 2002 in Owner Master screen, then the Account Search, Account Status, and Notes screens will also display information for only 2002. If you return to the Main Menu, the year resets to the most current one.

  1. The following information for this account will be displayed.
FIELD DESCRIPTION
Year The current escrow year for special inventory accounts.
Dealer No. A unique number assigned to the account.
Active If checked, this is an active account; if blank, it's an inactive account.
Payment Block Check to prevent payments from being made on this account for any year.
Hold Delinquent Letter Check this box to prevent Delinquent Monthly Notices and Notices for Non-Receipt of Annual Declaration from being sent to this account.
Appraisal District Delete Authorized users can check this box to delete this account. After saving this change, no payments or other changes to the account can be made. A note is created when this checkbox is saved.
Mail Flag Send statements and receipts either to DBA (alternate owner), OWN(certified owner), or FID (fiduciary), or CON (contact). The default is DBA.
Notes If notes for this account already exist, this button will be red. It can be clicked to add notes about the account.
Account No. Appraisal District Number for this dealer and property.
Situs Parcel address of the property.
Business Name and Location Dealer's certified name and address.
Same Address Click this box to enter the certified Business Name and address in the Alternate Owner DBA fields.  The DBA information can still be changed after this is done.
Alternate Address "DBA" Name and address of the dealer if different from the certified dealer's name and address. You can enter an alternate dealer name or address here or click the Same Address box to populate the certified name and address in these fields. These fields are required.
Dealer Type Number and type of dealer (auto, boat, etc.).
Start Date Date that the tax units placed levies on the account.
End Date Date that the tax units stopped the levies on the account.
Tax Units The jurisdictions that place levies on the account.
Rates System-generated – the tax rate charged by each jurisdiction. The rates used are those for the prior year. If the tax rate is highlighted in yellow, double-click to see the apport rates. Authorized users can change these apport rates if they are between 0 and 1. If the client preference USE_APPORT_IN_UPTV_FACTOR is set to Y, these rates and the total rate will be highlighted.
Total Rate System-generated – obtained by adding together all of the individual tax unit rates for this account.
Factor System-generated – used in calculating the amount owed by the certified dealer.  The factor is calculated by dividing the total tax rate by 12 (the number of months in a year), then dividing this by 100.  A client preference, USE_APPORT_IN_UPTV_FACTOR, can be set to Y if some accounts are less than 100% apportioned for all units.
Original Operator System-generated - the first operator code for each SIT year. This is normally the operator who rolled the accounts over to the new year.
Original Change Date System-generated - the first change date for each SIT year. This is normally the date the accounts are rolled over to the new year.
Changed Date System-generated – records the date of any change made to the account.
Operator System-generated – records who made the change.
  1. To change any of the information on the Owner Master screen (available only to authorized users):
  • Click in the field you wish to change.  The current information will be highlighted.
  • Type in the new information. (You cannot change the year or dealer number).
  • Click the Save button on the screen (or the one on the toolbar).  A Transaction Complete message will appear in the status bar.
  • To view Contact information, click the Contact tab.  The following information is displayed:
FIELD DESCRIPTION
Business Name Dealer's certified name
Contact Name Name of the person designated as the dealer's primary contact.
Address Mailing address for the contact.  This includes the city, state, and zip code.
Day Phone, Ext Contact's phone number
Evening Fax Contact's fax number, if any
E-mail Contact's e-mail address
Changed Date System-generated – records the date of any change made to the account.
Operator System-generated – records who made the change.
  1. To change any of the information on the Contact screen (available only to authorized users):

Note: You cannot delete all the information in a field; you can only edit what is there.

  • Click in the field you wish to change.  The current information will be highlighted.
  • Type in the new information. (You cannot change the year or dealer number).
  • Click the Save button on the screen (or the one on the toolbar).  A Transaction Complete message will appear in the status bar.
  • If no Alternate Address was entered, the Certified Name/Address will be auto-populated in the Alternate fields.
