Adding an Account

The Owner Master screen allows authorized users to add a new account into the SIT system.  You cannot enter duplicate dealer numbers - you will get a warning message if you try to do so.   If a duplicate appraisal district  number is entered, a popup message that lists the existing dealer number(s) will appear. Click Yes to continue adding a new dealer with a duplicate appraisal district number.

User Entitlements

The following user entitlements are used on this screen. They are part of the Manage SI Owner Info and View Only Major Screens tasks, which are part of most jobs. See Tasks, Entitlements, and Jobs for more information.

In order to add a new account, follow these steps (*  indicates a required field):

  1. While on the Owner Master screen, click New Account.  All fields will blank out except the Year, Active checkbox, Mail Flag, Start Date, Changed Date, and Operator.

Notes:  Make sure you are not in query mode when you click New Account.  If you are, press Ctrl + Q to leave that mode.

You may receive a save confirmation message if you have changed any information on the existing record before starting to add the new account.  Choose Yes or No to the message.

  1. The Year field defaults to the current escrow year.  You can change this to a prior year if needed.
  2. *  Enter the new Dealer No.
  3. Enter an Account No. if it is available.  This is usually the Appraisal District Number.
  4. The Active checkbox defaults to checked. If this new account will be inactive, click to remove the check.
  5. *  Select the Mail Flag for the account by clicking on the drop-down menu.  The default is DBA (Doing Business As, or alternate owner).  OWN  the certified dealer, and FID is a fiduciary.
  6. *  Enter the Business Name and Location information. You can press Tab between fields or click the mouse.
  7. If the DBA (alternate owner) name and address information is similar to or the same as the Business Name, click the Same Address checkbox.
  8. *  Make any necessary changes to the Alternate Address information.

Note:  If you try to save this account without entering Alternate Address information, you will get a message asking if you want the alternate address to be the same as the business owner's.

  1. *  Enter the Dealer Type code, or click the button next to the Dealer Type field, select the correct type, then click OK.
  2. The Start Date is auto-filled with today's date.  Change as necessary.
  3. Enter an End Date if necessary.  The Start and End Dates determine when fines are assessed.
  4. *  Enter the Tax Units that will be levied on the account.  You can enter the tax unit number, then press Tab to display the tax rate, or click the button next to the Tax Unit field, select the correct type, then click OK.

Repeat for each tax unit attached to this account.

  1. If desired, you can enter a note.  Click Notes, enter the note, click Close, then click Yes to the confirmation message.  The Notes button will turn red to indicate that a note for this account exists.
  2. If desired, you can enter Contact information for the dealer.  Click the Contact tab.  In the Contact screen, enter the desired  information.
  3. *  Click the Save button on the screen (not the one on the toolbar).  A Transaction Complete message will appear in the status bar. The Original Operator and Original Changed Date appear immediately after saving the data.
  4. Re-query the account (press F7, enter the dealer number, press F8) to verify the information.
