Viewing, Entering, and Changing Notes

Notes pertaining to an owner or hotel can be added in the Notes screen.  There are two versions of the Notes screen:  the main Notes screen and a Notes popup window available from most screens. Notes are sorted on the screens by rank (if one is given) or by change date (descending).

To use the Notes screens:

  1. Enter 6 in the Select box on the Main Menu, then press Enter, or select Notes on the Go To list. The main Notes screen will appear
  2. If you are carrying a hotel ID from another screen, it will appear in the Hotel ID field along with any notes that have been added for the hotel.   If you would like a different hotel, press F7, key in the new Hotel ID, then press F8.
  3. To view the notes for a hotel from the Account Search, Account Status, Online Payment, Reverse Payment, Owner/Hotel Master, Fees , or Sales Report Maintenance screens, click the Notes button at the top of the page. A popup window of notes for that hotel will appear.

To enter a note on any of the Notes screens:

  1. Click in the first blank line in the Notes column (you may have to scroll down the list).  If all visible rows contain notes, click the down-arrow key on your keyboard to create a new blank line.
  2. Type in the note you want to add.
  3. In the Code  drop-down list, select Owner   Notes or Hotel Notes.
  4. In the Subject drop-down list, select Hotel or Hotel Ownership.
  5. If you want the note to appear in the yellow area at the top of most screens, enter a Y in the Sticky Note field. If more than one note has this Y, the note with the highest Seq. No. will appear in the Sticky Note area.
  6. Click Save
  7. From the popup Notes screen, click Close. From the main Notes screen, click OK to the confirmation message.

To change a note from either of these Notes screens:

  1. Click in the row containing the row you want to change.
  2. You can change only the Sticky and Rank fields.
  3. Click Save, then click OK to the confirmation message.
  4. From the popup Notes screen, click Close.
