Load Trigger, Statement Accounts or Statements Table from a Flat File

If you have accounts in a flat file that you want to enter into either the Statement Accounts (to create a file to be sent to a printing or mortgage company), the Trigger table (to print statements on a local printer), or the Statements table (used by some tax offices to create a file), you can use the process below.

  1. From the Main Menu, click on Products, then Batch Products.  The ACT 7 Batch Menu will appear.
  2. Click the Load Trigger, Statement Accounts, or Statements Table from Flat File line, batch menu no. 1057.
  3. Press Enter. The parameter screen appears.
  4. Enter your ACT 7 Client ID.
  5. Enter the current Tax Year.
  6. In the Table Type field, enter S to put the accounts in the Statement Account table, T to put them in the Statement (Trigger) table, or R to put them in the Statements table. If it is set to T, the process also reads the Mortgage File flag (see step 10).
  7. Leave the Status field blank if you are using a flat file or enter the supplement/correction number.
  8. Leave the default value in the Directory field as it is.  This value is set by ACT.
  9. Enter the File Name (case sensitive, with extension).
  10. Leave the Mortgage File field set to N. It is not used in the Bill Control wizard.
  11. Leave the Request Sequence No. field blank if you entered S in the Table Type field, or, if you entered T, you have the option of entering the request sequence number to insert in the Statement (Trigger) Table.

Note If loading into the trigger table, each account is given a different batch sequence number, which will allow the statements to be printed in the order in which they were entered (batch 1031, for ex.).

  1. In the Accounts per Batch field, enter the number of statements per batch you want to print. To print everything in one batch, enter a number that is more than the number of statements.
  2. In the Calculate Amounts Owed field, enter Y to include the amount owed for each account or N to omit this (which will allow the process to finish more quickly).
  3. In the File Contains CAD/Aprdistacc No.? field, enter Y if the file you are loading contains Appraisal District numbers instead of Geo numbers.
  4. Click Submit Job to start the report process.
  5. Click OK on the "OK to Submit Job" pop-up screen.
  6. To preview and print a log  file, see Previewing and Printing Reports.  The log gives the total number of accounts in the file, the number of accounts rejected (if any), and the name of the file.
