Change Due Dates

When to Use:  This process allows users to change either the delinquency dates or the 33.08 dates of accounts with a specified revision code.  Typically this would happen when a supplement is run close to the 10th of a certain month, which sets the delinquency date to the first of the next month, but statements cannot be printed and mailed by the 10th.  You would need to change the due date as a result. For batch menu no. 710 only, 33.48 dates will be updated to match the new delinquency date for accounts with pre-existing 33.48 dates.

This process can be run in two modes: View or Update.  The usual procedure is to run the process in view mode first and verify the accounts that will be affected, then run it in Update mode to make the changes. After updating, a note is generated automatically for each account.

The client preference MAX_ACCOUNT_LENGTH should be set to the maximum length of account numbers at the tax office. It cannot be more than 34, which is the default.

To run the Change Due Dates process:

  1. From the Main Menu, click on Products, then Batch Products.  The ACT Batch Menu will appear.
  2. Click on the Change Due Dates line, batch menu no. 704 (for Dallas County, no. 710, Change Multiple Dates).
  3. Press Enter.  The parameter screen for this report appears.
  4. Enter the revision code of the accounts in the Revision Code field.  This can be found on the Receivable screen in the bottom left corner.  For Harris County Appraisal District files, enter only the number, not the first two letters (for ex., '14' instead of 'SR14').
  5. (optional) Enter a Tax Year to be affected or leave blank for all years.
  6. In the New Delinquency Date field, enter the new delinquency date or 33.08 date (except for Dallas County) for the accounts.
  7. In the Old Delinquency Date field, enter the current delinquency date or 33.08 date (except for Dallas County) of the accounts.
  8. (batch menu no. 710 only) In the New 33.07 Date and Old 33.07 Date or New 33.08 Date and Old 33.08 Date fields, enter dates as appropriate. To remove one of these dates, leave the New 33.07 or New 33.08 Date field blank.
  9. In the Process Option field, enter VIEW (edit) or UPDATE.

Note: If you run it in View and find some discrepancies, you can then look at the individual accounts without all accounts being affected.  Once it is run in Update mode, all accounts with the given Revision Code are changed to the New Date.

  1. Enter the date types you would like to change in the Date Type field.  This will either be DUE DATE, 3308 DATE, or 4208 DUE DATE. (Dallas County does not use this field.)
  2. (batch menu no. 710 only) If you did not enter a Revision Code (see above), you must enter a Req. Seq. No. from Trigger Table, which is the request seqeunce number from a group of accounts in the trigger table (the Statement Table screen).
  3. If you only want to update the unpaid receivables from the group of accounts, enter Y in the Update Unpaid Only? parameter. Otherwise enter N.
  4. Click Submit Job to start the report process.  
  5. Click OK on the "OK to Submit Job" pop-up screen.
